What an affiliation agreement actually is

Before any Walden nursing student can log practicum hours at a hospital, clinic, or private practice, Walden and that organization sign a contract. That contract is the affiliation agreement. It spells out the legal relationship between the two parties: liability and insurance, student conduct, supervision, HIPAA and privacy expectations, and what each side is responsible for while you are on site. Without a fully executed agreement in place, the site is not cleared to host you, no matter how willing your preceptor is. That holds even when the site is your own employer, a scenario with its own rules covered in our clinicals at your workplace guide. And the agreement covers the site's obligations, not yours: you still carry your own student liability policy.

This is the piece students most often underestimate. You can find a perfect preceptor and a great site, but if there is no signed agreement covering that location, the practicum cannot start. Walden's manual is direct about it: agreements "must be finalized, signed by all parties, and fully executed no later than two weeks before the start of the term" (Practicum Manual, Approval). The Meditrek Affiliation Agreement Database

Meditrek is Walden's practicum portal (edu.meditrek.com/waldenu/student), and it includes a searchable Affiliation Agreement Database. The database lists facilities that already hold an active agreement with Walden and where students have completed practicums before. You can search it to see whether a site you are considering is already covered.

If your site is in the database, the legal groundwork is done. You still have to confirm the site will take you and that your preceptor and rotation are a fit, but you skip the slow negotiation step entirely. That alone can save you weeks.

Two things Walden is careful to point out about the database:

• It is a starting point for finding sites, not a placement list. A site appearing in the database does not mean it has a spot for you.
• An active agreement does not obligate the site to take any particular Walden student. Space, program fit, and preceptor availability can all be limited (Find a Preceptor and Site).

And not every good site is listed. Plenty of practices that would happily host you have simply never worked with Walden before. That is normal, and it is where a new agreement comes in.

Existing agreement vs. new agreement

Here is the practical difference between the two paths.

Who starts a new agreement

You do not negotiate the contract yourself, and you should not try to. Your job is to identify the right person at the site and hand that contact to Walden. As the field office puts it, students "only need to identify the field site administrator whom Walden can work with in regard to the agreement by inputting the administrator's email, phone, and name" into the Affiliation Agreement portion of the Meditrek application.

From there, Walden's field team takes over the back-and-forth with the site's legal or administrative office. For certain sites, the path is a little different:

• Sites that require Walden to place students directly: you schedule a coaching call with a Field Placement Coordinator first.
• Sites that assign their own preceptors: you email nursingfield@mail.waldenu.edu to request a Placement Request Form or an Affiliation Agreement Request Form.

In every version, the contact information you provide has to be a real decision-maker at the site, someone authorized to sign or route a contract. A front-desk email will stall the whole process.

The timeline that decides everything

Affiliation agreements live or die by deadlines, and the deadlines stack up earlier than most students expect. Working backward from the start of your term:

Two realities sit underneath those dates. First, the field office review of your application "can take up to three months or longer once the review begins," and applications are processed in the order received after the deadline. Second, negotiating a brand new agreement "can take time, sometimes several weeks or months" and is "not entirely within Walden's control," because the site's lawyers move at their own pace (Practicum Manual, Approval). The earlier you hand over a clean site contact, the more room everyone has to finish on time.

How to keep your agreement from holding you up

• Check the Meditrek database first. If your site is already listed, you avoid the negotiation step entirely.
• Line up a backup site. If your first choice has no agreement and the clock is tight, a second option already in the database can save the term.
• Get the right contact. Confirm the exact person, email, and phone who can route a contract before you enter it in Meditrek.
• Submit early, not on the deadline. Review happens in submission order, so earlier applications clear sooner.
• Remember an agreement is not a placement. Even a listed site has to confirm it will host you for your specific rotation.

Does my site need an existing affiliation agreement with Walden?

No. If your site is already in the Meditrek Affiliation Agreement Database, the legal contract is in place and you skip the negotiation step. If it is not listed, Walden can start a new agreement with the site, but you need to give the field team time to negotiate and sign it before your term begins.

How long does a new Walden affiliation agreement take?

It varies. Walden asks for the draft agreement at least 6 weeks before the term starts, and the negotiation can take several weeks or months because both legal teams have to agree on terms. The signed agreement must be fully executed no later than two weeks before the term begins.

Does being in the Meditrek database guarantee a placement?

No. The database is a starting point for finding sites, not a placement list. An active agreement only means the legal contract exists. The site still has to agree to take you, and space and program fit can be limited.

Who starts the affiliation agreement, me or Walden?

You identify the site contact and enter their name, email, and phone in the Affiliation Agreement section of your Meditrek application. Walden's field team then works directly with that contact to negotiate and execute the agreement. For some sites that require Walden to place students directly, you schedule a coaching call with a Field Placement Coordinator first.
